Reading a Spatrian portfolio
For a certified teacher, an umbrella school or a district reviewer who has been handed a PE portfolio or transcript produced here. What each part is, how its numbers are counted, and how to check a transcript is the one that was issued. Nothing in it decides whether the record is enough; that is your call, and the documents say so.
Who wrote what
The parent is the home educator and the author of the record. Spatrian keeps the log, adds up the hours and lays the documents out. It does not award credit, set a grade or certify anything; the portfolio closes with the parent’s own certification, and the credit calculation prints its formula so the arithmetic can be redone by hand.
How the hours are counted
- Every figure is a sum of dated sessions The chronological activity log lists each session with its date and minutes. The totals and the hour breakdown are added up from exactly those rows, so any total can be traced to the sessions behind it.
- Outside instruction counts only when a parent confirmed it A club session or a class taught by someone else is counted once the parent has confirmed it, and only where the family’s state allows outside instruction to count. Anything unconfirmed, or barred by the state, stays in the log and is shown apart from the total, with the reason, rather than dropped or added in.
- A child’s own claim is not a record until a parent confirms it A student may say they did a session. It waits for a parent, and it is in no total until it is confirmed.
- Measured, tapped or corrected On the few drills where the phone counts touches by listening, the record says which: measured when the phone counted every touch, tapped when a parent counted by hand, and corrected when a parent adjusted what the phone heard. That label is decided on the server from what was recorded, not chosen by the family.
The state figures
Where a document names a state’s requirement, it is the family’s own state, read from the family’s account rather than chosen for the document, and each figure carries the source it was taken from. A figure marked as checked automatically has been read against its source by software and not yet reviewed by a person. Treat the source, not our summary of it, as the authority.
Checking a transcript
Every transcript carries a SHA-256 fingerprint of the academic record it was issued from. Enter it at spatrian.com/verify, or follow the link or code that came with the transcript: the page says whether a transcript with that fingerprint is on the register, and if any graded fact on the copy in front of you has been changed, the fingerprint will not match. Where a coach, tutor or co-op instructor countersigned part of the record, the page says how many did and in what capacity, without naming them.
What these documents do not claim
They do not say a family has met a requirement, and they are not a notice of intent, an affidavit or an IHIP; those are the parent’s to write and file. Whether the record is sufficient is for you, the district or the state to decide.
